Setting up bookable appointments with Google Calendar

A clean path from "I want to take 1:1 bookings" to a published appointment product that writes confirmed sessions straight into your Google Calendar.

Connect Google Calendar in your workspace, create an appointment product, set the duration, schedule, and location, set a price, publish, and test by booking yourself. Klixey takes care of reminders and rescheduling automatically.

Before you start

A short prep checklist:

  • A Klixey workspace with onboarding finished. See Creator quickstart.
  • Stripe connected if you'll charge for the sessions. See Connecting Stripe.
  • A Google account that owns the calendar you want bookings written to. Personal Gmail is fine; Google Workspace works too.
  • A clear sense of your weekly availability — which days, which time ranges, how long each session runs.
  • A location decision: in-person address, Google Meet (Klixey generates the link), or your own Zoom link.

The playbook

1. Connect Google Calendar

Open Workspace settings → Google Calendar and connect your Google account. Only the workspace Owner or an Admin can do this — the calendar belongs to the workspace, not to an individual.

2. Pick which Google calendar to write bookings to

Most people have several calendars under one Google account — a personal one, a work one, sometimes a separate one for coaching or appointments. Pick the right destination before you start taking bookings.

3. Create the appointment product

Open Products, pick Add product, and choose Appointment. You'll land on a fresh appointment with placeholder settings. Give it a name, a description, and a banner image.

4. Set duration, timezone, buffer, and minimum notice

The four numbers that shape every booking:

  • Duration — how long each session lasts (30 minutes, 60 minutes, etc.).
  • Timezone — yours. Klixey shows times to customers in their timezone automatically.
  • Buffer — a gap between bookings so you're not running back-to-back.
  • Minimum notice — how far in advance someone has to book (e.g. "no sooner than 24 hours from now").

5. Set your weekly schedule

Pick which days of the week you're available and which time ranges on each day. You can add multiple ranges per day (e.g. 9–12 and 14–17). Klixey takes care of the rest — only the available slots show up on the booking page.

6. Pick a location type

Three options, pick whichever fits the offer:

7. Set pricing

Open the Pricing section and pick a mode. Free is fine for discovery calls; One-time for paid sessions; Full if you want to offer a package or a subscription (e.g. "two sessions per month").

8. Tighten the booking and confirmation copy

The default text is fine but you'll get better results by personalising it. Customise the booking-page headline, the order-confirmation message, and the email customers receive after booking — that's where you set expectations for how the session will run.

9. Publish

Flip the product's status from Draft to Listed. The booking page now goes live on your storefront.

10. Test by booking yourself

Use a different email address to book a slot. Confirm:

  • The booking shows up in the right Google Calendar.
  • You got the confirmation email (and the customer would too).
  • The location link or address is on the calendar invite.
  • The reminder emails fire as the session approaches.

Otherwise the slot stays blocked for real customers. Cancel from the customer side using the link in the confirmation email — that's the same flow your buyers will use.

What customers see at the end

A clean appointment flow looks like this:

  1. They land on the appointment card on your storefront, click in, and see a calendar with your available slots — already converted to their timezone.
  2. They pick a slot, pay if it's paid, and land on a confirmation page with the time, the location, and a calendar invite they can add to their own Google or Apple calendar.
  3. They get a confirmation email from Klixey with the same details, plus a link they can use later to reschedule or cancel.
  4. Klixey sends a reminder a day before the session, again two hours before, and one final ping ten minutes before. No setup needed — the reminders fire automatically. → Appointment reminders
  5. If they need to reschedule or cancel, they do it themselves from the link in their confirmation email — no need to email you.

Common things to tighten before you launch

A short pre-launch checklist:

  • [ ] The buffer setting matches reality — if you need fifteen minutes between calls, don't set it to five.
  • [ ] The minimum notice rules out same-day bookings if you don't want them.
  • [ ] Your Google Calendar shows existing personal events as Busy — those slots won't be offered to customers.
  • [ ] The confirmation email mentions where to find the meeting link (if it's Google Meet, it's on the calendar invite; if it's Zoom, it's pasted in the email).
  • [ ] You've blocked any holidays or off-weeks in Google Calendar directly — those slots won't show up either.

Keep one Google account, one workspace

Don't connect the same Google account to two workspaces — bookings end up in the wrong calendar. If you run two brands, use two Google accounts. → Multiple workspaces

After launch

Once bookings start coming in:

If you need to cancel a session yourself (you're sick, an emergency comes up), do it from the booking record in the Appointments calendar — the customer gets notified automatically and, for paid sessions, you can issue a refund from the same place. → Refunds, failed payments, and disputes
