Google Calendar integration
Klixey can connect to your Google Calendar so the two stay in sync. Bookings you confirm in Klixey land on Google Calendar with all the details; busy time on Google Calendar blocks the matching slots in Klixey so customers can't double-book you.
Quick answer
Open Settings → Workspace settings → Integrations and click Connect Google Calendar. Sign in with Google to give Klixey permission. Pick which calendar to write to. Klixey starts syncing automatically; click Sync Now if you ever need to force a refresh.
What it does
Once connected, Klixey works with your Google calendar in two directions.
Klixey → Google Calendar
When you confirm a booking in Klixey, an event lands on your chosen Google calendar with:
- The session title and description
- The customer's name and email (as a guest)
- The time and duration
- The location (Google Meet link, Zoom link, or your custom address)
- A reminder set on your end
If the appointment is set to use Google Meet as the location, the integration creates a fresh Meet link for that event automatically. Customers get the link in their confirmation email.
When you reschedule a booking, the Google event updates to the new time. When you cancel or delete a booking, the Google event is removed.
Google Calendar → Klixey
Klixey checks in with Google Calendar every so often to read your busy time. Anything on the connected calendar — a personal meeting you added there, an all-day event, a focus block — blocks the corresponding slots in your Klixey availability. Customers don't see them as bookable.
This is the bit that prevents double-bookings. If you accept a dentist appointment on your phone and forget to update Klixey, it doesn't matter — that slot is already gone from your booking page.
A small delay is normal
Sync runs in the background. If you just added something on the Google side and want it reflected immediately in Klixey, use Sync Now.
Connecting your calendar
- Open Settings → Workspace settings → Integrations.
- Click Connect Google Calendar.
- Google asks you to sign in. Use the account that owns the calendar you want to use.
- Google shows you a permissions screen — read, write, and manage events on calendars you own. Approve.
- You land back in Klixey, connected.
Connect with the right Google account
If you have multiple Google accounts (a work one and a personal one), make sure you connect with the one that has the calendar you want to use. Switching later means disconnecting and reconnecting.
Picking which calendar to write to
After connecting, Klixey shows the list of calendars on that Google account that you own or have write access to. Pick the one bookings should land on.
Common picks:
- Your primary calendar — fine if you have a separate work life from Klixey, or you want everything in one view.
- A dedicated "Klixey bookings" calendar — clean separation, easier to filter, easier to share with an assistant. Create it in Google Calendar first, then pick it here.
You can change this later. Existing events stay where they were created; new bookings go to the new calendar.
Sync Now
Klixey syncs periodically in the background. If you just made a change on the Google side and want it reflected in Klixey immediately, click Sync Now on the Integrations page. It pulls the latest busy time and updates your availability right away.
You won't need this often — the background sync covers most cases — but it's there for the moments where you want to be sure.
Health indicators
The Integrations page shows a status block for the connection:
- Connection state — Connected, Disconnected, or Needs attention.
- Last sync — when Klixey last read from Google.
- Real-time updates — whether Google is also pushing changes to Klixey as they happen (in addition to the periodic sync).
A healthy connection shows Connected, a recent last-sync, and real-time updates on. If anything looks off — last sync hours old, "Needs attention" — open the connection settings and reconnect.
Disconnecting
To disconnect, open Integrations and click Disconnect Google Calendar. You'll be asked to confirm.
Once disconnected:
- New bookings stop syncing to Google. They still exist in Klixey, just not on your Google Calendar.
- Existing Google events stay where they are — Klixey doesn't reach back in to delete them.
- Busy time from Google Calendar stops blocking your Klixey availability.
- The next time you reconnect, the integration starts fresh.
What happens to a booking if you disconnect mid-life?
The booking stays in Klixey exactly as it was. The Google Calendar event becomes a static copy — Klixey can no longer update or remove it, so changes you make in Klixey from then on (reschedule, cancel) won't reach Google. Reconnect and Klixey can manage events again, but the orphaned ones stay orphaned until you tidy them by hand.
Appointments set to Google Meet
If you have appointment products set to use Google Meet as the location:
- They work normally while the integration is connected: each confirmed booking gets a fresh Meet link.
- If the integration is disconnected when you try to confirm, the booking will work but the Meet link won't be generated. You'll need to either reconnect first or switch the appointment's location to Custom with a Zoom link.
If your day-to-day is heavy on Meet appointments, treat the integration as a hard dependency and keep it connected.
Permission and ownership
Only Owners and Admins can connect, disconnect, or change the connected calendar. Editors can build appointment products and confirm bookings, but can't touch the integration.
This is the same rule we use for every workspace-level integration. See Roles & permissions for the full matrix.
Multiple team members, one integration
The integration lives at the workspace level — it's a property of the workspace, not the user. One Owner or Admin connects it once, and every team member who confirms a booking ends up writing to the same calendar.
That works well for solo creators. For teams with multiple coaches who each want their own calendar, the current model isn't a great fit. Track the changelog for the team-aware appointment system.
Troubleshooting
| Problem | What to do |
|---|---|
| "Needs attention" on the connection | Click Reconnect. This usually means Google's permission expired or was revoked. |
| Bookings aren't appearing on Google Calendar | Check you have the right calendar selected. Try Sync Now. If still nothing, reconnect. |
| Slots are bookable that shouldn't be | Klixey hasn't picked up your latest Google busy time yet. Hit Sync Now. |
| Google Meet link isn't being generated | Confirm the integration is connected. The link is created when you confirm the booking, not when the customer books. |
