Resources library
The Resources tab is where you keep the supporting material for your community — guides, templates, recordings, cheat sheets, recommended reads. Anything members need to come back to. You upload it once; members find it in the Files tab any time.
Quick answer
Open your community and switch to the Resources tab. Click Upload and pick one of three resource types — File, YouTube, or Link. Give it a title, choose a category, and save. Members see it instantly in the community's Files tab.
What the Resources tab is for
Posts are the conversation. Resources are the library.
If something is worth keeping around — a worksheet, an onboarding recording, a link to your favorite tool — put it in Resources rather than burying it in a post. Members can browse, search, and filter the library; they don't have to scroll through old discussions.
You manage Resources from the Resources tab inside the community editor. Members see the same library from the Files tab when they're inside the community.
The three resource types
| Type | What it is | When to use it |
|---|---|---|
| File | A document, image, or audio you upload to Klixey. Up to 10 MB per file. | Workbooks, PDFs, templates, screenshots, cheat sheets. |
| YouTube | A YouTube video you've already published. | Recorded calls, walkthroughs, tutorials that already live on your channel. |
| Link | Any other URL. | A Google Doc, a Notion page, a recommended tool, a Loom recording. |
You can mix and match. A typical Resources tab has a handful of PDFs, a couple of YouTube embeds, and a list of curated external links.
Adding a resource
Open the community, switch to the Resources tab, and click Upload. A modal opens with three tabs — one per resource type.
File
- Pick the File tab.
- Drag a file into the drop zone, or click to browse.
- Wait for the upload to finish (the progress bar shows you how it's going).
- Add a title and (optionally) a short description.
- Pick a category.
- Save.
Supported file types are PDFs, common document formats (Word, plain text), and images. Files are capped at 10 MB each and count toward your workspace's storage quota.
→ For the full list of supported types and how storage works, see Storage and file limits.
YouTube
- Pick the YouTube tab.
- Paste any YouTube URL — the full
youtube.com/watch?v=…link, the shortyoutu.be/…link, or an embed URL all work. - Klixey pulls the thumbnail and embeds the video inline for members.
- Add a title (Klixey can pre-fill it from the video, but you can override).
- Pick a category.
- Save.
YouTube resources don't count toward your storage — the video stays on YouTube. Members can play it right inside the community card or open it on YouTube in a new tab.
Link
- Pick the Link tab.
- Paste any URL (Google Doc, Notion page, Airtable, an outbound tool — anything).
- Add a title and (optionally) a short description so members know what they're clicking into.
- Pick a category.
- Save.
When members tap a link resource, it opens in a new tab. They don't leave the community.
Files count toward storage; YouTube and Links don't
A 10 MB PDF eats 10 MB of your workspace storage. A YouTube video or an external link uses zero. If your plan's storage is tight, prefer YouTube and links where the content is already hosted elsewhere.
Categories
Every resource sits inside a category. Categories let you organize the library by topic — "Onboarding", "Templates", "Recorded calls" — so members can find what they need without scrolling.
The Resources library uses the community's categories — the same ones you set up for posts. If you haven't created any yet, set them up first under the community's category management, then come back to Resources.
→ For the full rundown of how categories work, see Categories.
Editing a resource
From the Resources tab, open the menu next to any resource and pick Edit.
You can change:
- The title
- The description
- The category
You can't swap the underlying file or URL. If you uploaded the wrong file or pasted the wrong link, delete the resource and add a new one — that keeps the library tidy and avoids stale download links floating around.
Why files and URLs are locked
Resources sometimes get downloaded or bookmarked by members. Swapping the underlying file silently would mean someone could end up with the wrong version. Delete-and-re-add is the safer pattern — and it takes about ten seconds.
Deleting a resource
Open the menu next to a resource and pick Delete. Klixey removes it from the community immediately.
For file resources, the file is removed from Klixey's storage and you get the space back on your quota right away. For YouTube and Link resources, deletion just removes the card — your YouTube video and external page aren't touched.
Members who already downloaded a file resource keep their local copy. Future downloads stop the moment you delete.
What members see
Members find your library in the Files tab inside the community. They get:
- A searchable, filterable list.
- A different icon for each resource type (file, YouTube, link).
- A one-tap download for files, a one-tap open for YouTube and links.
- A download / open count next to each resource — so they can see what's popular.
Who on your team can manage resources
Anyone with the Owner, Admin, or Editor role on the workspace can add, edit, and delete resources. Viewers can see the Resources tab but can't change anything.
Inside the community itself, members with the Moderator or Admin community role can also manage resources from the member-facing surface. See Roles & permissions for the full matrix.
Tips for a useful library
- Use clear titles. "Week 1 worksheet" beats "Worksheet v3 final FINAL".
- Group with categories. A library of 30 untagged files is harder to use than 30 files in five tidy categories.
- Lean on YouTube and Links for big stuff. A 90-minute recorded call belongs on YouTube, not as a 10 MB clipped highlight reel.
- Prune occasionally. If you ran a launch promo six months ago, the resource is probably noise now. Delete it.
