Managing your team
Once your team is in motion, Workspace settings → Team is where you adjust who has what access. Owners and Admins do most of the work here. Editors and Viewers see the team list but can't change it.
Quick answer
Change a member's role from the role dropdown next to their name. Resend or cancel a pending invite from the Pending invitations table. Remove a member with the trash icon — they lose access immediately. Non-owners can leave a workspace from the workspace menu; Owners can't (contact support).
Changing a member's role
- Open Workspace settings → Team.
- Find the person in the Team members table.
- Pick a new role from the dropdown next to their name.
The new role takes effect immediately on the member's next page load.
A few rules govern who can change whom:
| Action | Owner | Admin |
|---|---|---|
| Change an Editor's or Viewer's role | ✓ | ✓ |
| Promote an Editor or Viewer to Admin | ✓ | ✗ |
| Change another Admin's role | ✓ | ✗ |
| Change the Owner's role | ✗ | ✗ |
Admins can manage Editors and Viewers, but they can't act on each other — only the Owner can promote, demote, or remove another Admin. Ownership itself is set when the workspace is created and can't be reassigned in the app today. See Roles & permissions for the full Owner-only list.
Resending a pending invitation
If your invitee says they never got the email, or they did but the 7-day window is closing:
- Open Workspace settings → Team.
- In the Pending invitations table, find the row.
- Click Resend.
This generates a fresh link and gives them another 7 days. Old links from previous sends stop working — they should use the most recent email.
Cancelling a pending invitation
If you invited the wrong email, or you changed your mind:
- Open Workspace settings → Team.
- In the Pending invitations table, find the row.
- Click Cancel.
The invitation disappears, and the link in the email stops working. You can re-invite the same email later with no cleanup needed.
Pending invites use a team seat
A pending invitation counts against your plan's team-member ceiling. If you're at the limit and want to invite someone new, cancel a pending invite (or remove an existing member) to free a seat. See Plans.
Removing a team member
- Open Workspace settings → Team.
- Find the person in the Team members table.
- Click the remove icon and confirm.
They lose access to the workspace immediately. Their personal Klixey account is untouched — they keep their profile, password, and any other workspaces they belong to.
Who can remove whom:
| Removing | Owner | Admin |
|---|---|---|
| An Editor or Viewer | ✓ | ✓ |
| Another Admin | ✓ | ✗ |
| The Owner | ✗ | ✗ |
If you remove someone by mistake, you'll need to send a fresh invitation — there's no in-app undo.
Leaving a workspace
Anyone who isn't the Owner can leave at any time:
- Open the workspace menu from the top-right of the app.
- Click Leave workspace and confirm.
You lose access immediately. Your personal account stays untouched, including any other workspaces you belong to. To rejoin, the Owner or an Admin has to send you a fresh invitation.
Owners can't leave their own workspace
Ownership isn't transferable in the app today, and there's no in-app workspace-delete flow. To step away from a workspace you own, email support@klixey.com — we'll help you transfer ownership or remove the workspace entirely.
If your workspace has been suspended because the Owner's plan lapsed, you can still leave from the suspended screen.
