Create & send campaigns
A campaign is one marketing email sent to one Smart List. The same page takes you from the first draft through scheduling, sending, and results, so you can return later without rebuilding the context.
Quick answer
Open Marketing → Email → Campaigns and click New campaign. Start blank or choose a template, then complete Content, Audience, Settings, and Review. Choose Send now or Schedule. After sending starts, you can leave the page and return to the campaign report for delivery progress, clicks, and recipient details.
Start a campaign
Click New campaign to open Choose a starting point:
- Blank campaign starts with a clean email.
- A template starts with reusable content and branding. A workspace template may be marked Default.
The campaign keeps its own copy of template content. Editing or deleting the template later does not change campaigns you already created from it.
Name the campaign and write the inbox copy
The first fields serve different purposes:
- Campaign title is the private name you use to organize the campaign inside Klixey. Recipients do not see it.
- Subject is the subject line recipients see in their inbox.
- Preheader is the short preview text many inboxes show beside or below the subject.
Use a clear campaign title you will recognize later, then write a subject and preheader that accurately describe the email.
The subject and preheader both accept personalization variables, so a subject can open with the contact's own first name. → Personalize the email
Build the email
The Content step lets you add:
- Header/logo
- Text
- Image
- Button
- Divider
- Spacer
- Social links
Reorder blocks to change the flow. You can duplicate or delete regular blocks, and your changes autosave.
The Compliance footer is locked and always stays last. It includes your business mailing address and the recipient's unsubscribe link, so you do not need to add either one manually.
Personalize the email
Variables drop each contact's own details into the email as it sends, so one campaign reads as if you wrote it to each person. There are three:
| Variable | Becomes | Needs a fallback |
|---|---|---|
| First name | The contact's first name | Yes |
| Email address | The address the email is being sent to | No |
| Store name | Your store's name | No |
Use them in any Text block, and in the subject and preheader. Click the { } button, pick a variable, and it appears as a chip you can click to edit — not as raw text you have to type correctly. Templates carry body variables through to every campaign made from them.
First name always needs a fallback, because a stored name isn't always usable as one — it can be blank, an email address, or a company name with digits in it. Write one that reads naturally either way:
Hi {First name | there},→ Hi Priya, or Hi there,
Read the sentence both ways
Hi {First name | valued customer} reads fine until it becomes Hi valued customer. Preview the fallback before you send.
Klixey uses the first word of the contact's name and capitalizes it only when it was stored in all lowercase, so priya becomes Priya while McDonald keeps the capitalization you imported.
Variables don't resolve everywhere
They work in the body, subject, and preheader — not in button labels, the header display name, or image alt text. Paste one into those and it would send exactly as written, so the editor flags it on the block.
Preview and send a test
Click Preview and switch between Desktop, Mobile, and Plain text. Check that:
- The subject and preheader work together.
- Images have a clear purpose and do not carry the whole message.
- Buttons say what happens next.
- The plain-text version remains understandable.
- The mailing address is correct.
If the email uses variables, Preview as switches between Sample contact (your own details), First audience contact (the first real contact in the Smart List), and No usable first name, which takes every fallback so you can check how they read.
Use Send test to send a copy to an address you control. Sender Setup must be complete, and normal safety checks still apply. Test messages have [TEST] added to the subject so they are easy to recognize. Send test also asks how to fill variables — using the contact at that address, or using fallback values.
Reuse templates
Open Marketing → Email → Templates to manage reusable starting points. You can:
- Use template to create a campaign.
- Duplicate a template.
- Make default so it is preselected for new campaigns.
- Delete a template you no longer need.
From a draft campaign, use Save as template when the current design should become reusable. Templates contain email content and design—not an audience or campaign report.
Choose an audience
In Audience, select one saved Smart List. Klixey shows:
- Matching — everyone who fits the Smart List rules.
- Sendable — people who can receive this campaign now.
- Skipped — matching contacts excluded because they are not eligible.
Use View skipped or Download CSV to review the difference. Unsubscribed, suppressed, and invalid addresses stay out automatically; a tag or Smart List rule cannot override them.
If the audience is not right, return to Contacts & audiences, adjust the Smart List, then recalculate it before continuing.
Send now or schedule
In Settings, choose:
- Send now to begin after you pass Review and confirm.
- Schedule to choose a Timezone, Local date, and Local time.
For a scheduled campaign, choose how the audience should behave:
- Update before sending recalculates the Smart List when sending starts. Use it when new qualifying contacts should be included.
- Keep today keeps today's eligible audience. Use it when the campaign is intended for the group you reviewed now.
Both choices remove anyone who unsubscribes or becomes suppressed before sending. Keep today never locks in permission that no longer exists.
Pass the final Review
The Review step checks:
- Content — the required message fields are complete, and every personalization variable can resolve.
- Sender — Sender Setup is ready.
- Compliance — the required footer information is present.
- Audience — a Smart List is selected and has sendable recipients.
- Timing — send-now or schedule details are complete.
- Sending balance — enough included sends and Wallet capacity are available.
The balance summary shows Available sends, Included allowance, and Wallet capacity. Included sends are used first. If more are needed, the workspace Owner can open the user menu → Billing to use Add funds or Auto top-up.
→ Manage Email sends and Wallet funds
The Content check lists every variable in the email and what it resolves to. It blocks the send when a First name has no fallback, when a variable name isn't recognized, or when was typed into a text block as plain text instead of inserted — in which case Review offers to convert it into a real variable.
Resolve every item marked as needing attention, return to Review, and check again before confirming the send.
Manage a scheduled or active campaign
The available actions change with the campaign status:
| Status | What you can do |
|---|---|
| Draft | Continue editing, duplicate, save as a template, or delete. |
| Scheduled | Reschedule or Cancel schedule. |
| Preparing or Sending | Pause or Cancel unsent. |
| Paused | Resume or Cancel unsent. |
| Sent, Cancelled, or Failed | Open the report and recipient details; duplicate the campaign when you want a new draft. |
Sending continues in the background if you leave the page. Pausing or cancelling affects only recipients who have not already been accepted for sending. Messages already accepted are unaffected, and unused sends for cancelled recipients are credited back automatically.
Read the campaign report
The delivery funnel separates:
- Eligible — recipients ready when the campaign was prepared.
- Accepted — messages accepted for sending; this is not the same as Delivered.
- Delivered — messages reported as delivered.
- Bounced — messages the receiving system rejected.
- Complained — recipients who marked the message as spam.
- Unsubscribed — recipients who opted out through the campaign.
- Skipped — recipients Klixey left out.
- Cancelled — recipients left unsent when the campaign was cancelled.
Engagement shows Unique opens, Unique clicks, Total opens, Total clicks, and Top clicked links. Use recipient details to search by email or filter by status.
Treat opens as directional
Inbox privacy features can record an open that did not happen normally or hide one that did. Use opens to understand a broad trend, not to prove that one person read the message. Clicks are the more reliable engagement signal.
Results can continue updating after sending finishes and may take a little time to refresh.
Reuse what worked
- Duplicate a campaign when you want a new draft with the same setup.
- Use Save as template when the content or design should be available to future campaigns.
- Make a template Default when it should be the normal starting point.
Duplicating or templating a campaign never resends the original. Review the new subject, audience, timing, and available sends before confirming it.
